Trojans Hockey Club is committed to creating and maintaining a safe and positive environment for all young people involved in hockey. It accepts its responsibility to help safeguard the welfare of all young people and protect them from poor practice, abuse and bullying.

Trojans Hockey Club as a provider of opportunities for young people in hockey accepts that we are required to fulfill our duty of care, which means that we must do everything that can be reasonably expected of us to help safeguard and protect young people from any reasonably foreseeable harm.

Every individual and organisation within the Hockey Family has a role and responsibility to help ensure the safety and welfare of young people. 

 We advise all parents, club officers, coaches, and any club volunteer or agent over the age of 18 to be familiar with the following:

DBS Clearance Process

If you are a coach, assistant coach, team manager, committee or management team member, captain or vice-captain of any team or any type of volunteer who has regular contact with anyone under 18 you must get a DBS (Disclosure and Barring Service) check. Junior helpers age 16 or above must also be DBS checked.

​The Criminal Records Bureau (CRB) and the Independent Safeguarding Authority (ISA) have merged into the Disclosure and Barring Service (DBS) so that what used to be referred to as a 'CRB check' is now a 'DBS check.'

Guide to Disclosure and Barring Service (DBS) checks 

​Please note that a DBS is specific to the organisation for which you are having it done - if you have a CRB/DBS from another organisation, you will still need one for Trojans Hockey Club. This is a characteristic of the DBS system, not Trojans Hockey Club.

Process of getting a DBS Check

​The first step is to email Abigail-Sara Desouza with your name and role at Trojans (i.e. coach, captain, volunteer). Trojans will pay for the cost of a DBS Check. DBS checks are valid for 3 years.

​Here is how the process works:

  • ​Abigail-Sara Desouza creates an online application with the online ‘TMG CRB’ service using your full name and email address (you cannot do this yourself, it has to go through our TMG CRB administrator). You will receive an email from TMG CRB with a link to your online application form.
  • Click on the link, fill in the form and submit it to TMG. Abigail-Sara Desouza is notified by the system that the application has been activated and will let you know.
  • You need to see Abigail-Sara Desouza in person within 28 days of the application being activated in order for her to verify the ID document that was used in filling the online form.
  • You will receive a paper copy of the DBS in the post.
  • You then need to let Abigail-Sara Desouza know the number in the top right hand corner of the DBS paper statement.

NB - If the in-person verification with Abigail-Sara Desouza is not done within 28 days of the application being activated, the whole process needs to start again. After 28 days an applicant who has not been verified in person will be deleted from the TMG CRB online system automatically. This is not Trojans Hockey Club but the TMG CRB system that imposes the deadline.

Safeguarding Training

Trojans Hockey Club is committed to creating and maintaining a safe and positive environment for all young people involved in hockey. It accepts its responsibility to help safeguard the welfare of all young people and protect them from poor practice, abuse and bullying.

​We encourage everyone working with young people to be up to date with Safeguarding. It is a requirement that all managers and lead coaches at minimum have undertaken Safeguarding Training.

​Trojans Hockey Club will ensure that all managers and lead coaches have undertaken the England Hockey Online Safeguarding and Protecting Young People in Hockey Course and all other coaches have undertaken the England Hockey Basic Online Safeguarding course in line with England Hockey’s policy available here.

 What does the course involved?

This course provides a basic level of awareness to help safeguard children and young people within hockey. The course is hockey specific explaining best practice and what to do if you have a concern regarding child protection. This course takes approximately 45mins to complete and after completion you can save and print your certificate instantly. Please send a copy of your certificate to Message Welfare Officer.

How do I access the course?

To access the course you can Message Welfare Officer the Welfare Officer with your name and contact details, they can then arrange for you to access the course.

Safeguarding and Child Protection Policies

All parents, club officers, coaches, and any club volunteer or agent over the age of 18 who has contact with Junior players (under the age of 18)  must be familiar with and agree to our policies regarding safeguarding. Where possible, Trojans Hockey Club adopts England Hockey recommended safeguarding policies.

Injury Reporting Policy This Policy relates to the recording and reporting of injuries sustained during hockey activity by any member of a club or association affiliated to England Hockey. In order to collect meaningful data, England Hockey require clubs/associations to complete the England Hockey online ‘Injury Monitoring Form’ following injuries sustained that require one or more of the following:

  • Treatment from a first aid specialist (e.g. Team doctor/ first responder)
  • Hospital treatment
  • Subsequent visit(s) to a GP
